Client implementation: what to expect
Most clients live in 5–7 days. You stay looped in.
After your client signs with Benefi, implementation typically takes 5 to 7 business days. You'll stay as involved as you and your client prefer, with full visibility into progress through your broker portal.
The implementation team
Three people drive every implementation:
- Your client's admin — usually HR or payroll, whoever will manage the plan day-to-day
- Benefi's implementation manager — dedicated point person who handles the technical setup
- You — involved as much or as little as the client wants
Some brokers join every call. Others introduce the team and step back. Your client sets the tone.
What happens during implementation
Your implementation manager walks the client through five key milestones:
Payroll integration connects the client's payroll system to Benefi for automated deductions and eligibility updates. Most major payroll providers integrate directly. For smaller systems, the team configures file-based syncing.
Census upload brings in the initial employee list. The client exports their current roster, and the implementation manager validates eligibility classes and enrollment rules.
Employee invitations go out once the census is processed. Employees receive welcome emails with instructions to download the Benefi app and complete enrollment.
Benefits configuration confirms plan design details: waiting periods, eligibility classes, dependent coverage rules. The implementation manager reviews these settings with the client admin.
First invoice generates after the benefits effective date. The client reviews charges, confirms accuracy, and sets up payment.
Your role as broker
Benefi handles the technical work of implementation. You don't upload files, configure systems, or chase down employee enrollments.
Your value comes from relationship continuity. Clients often want their broker present for the kickoff call and major decisions. You help translate between benefits-speak and what the client needs to know.
The broker portal shows real-time implementation status for all your clients. You'll see which milestones are complete, what's in progress, and any items needing client action.
Timeline expectations
While 5 to 7 business days is typical, complex payroll integrations or unique eligibility rules can extend the timeline. Your implementation manager communicates any delays immediately, with specific reasons and updated target dates.
Clients launching mid-month often go live faster since there's urgency around the benefits effective date. End-of-month launches may take the full week as multiple implementations queue up.
After go-live, your client admin manages the plan through their employer portal. You maintain broker-level access for ongoing support, reporting, and renewal planning.
Frequently Asked Questions
What if my client's payroll system doesn't integrate directly with Benefi?
Benefi's implementation team configures file-based syncing for payroll systems that don't have direct integration. Your implementation manager will work with the client's payroll provider to set up automated file transfers for employee data and deduction processing. This adds minimal time to the implementation timeline and works reliably for smaller or specialized payroll systems.
Can implementation start before the contract is fully executed?
Implementation begins after your client signs with Benefi and the contract is processed. The implementation manager won't start technical work like payroll integration or census upload until the agreement is complete. However, you can use the time between initial interest and contract signing to gather preliminary information like payroll provider details and employee counts to accelerate the process once implementation officially begins.
What happens if employees don't enroll during implementation?
Employees who don't complete enrollment during implementation can still enroll later since Benefi uses continuous enrollment rather than fixed enrollment periods. However, the implementation manager tracks enrollment progress and can send reminder communications to boost participation before the benefits effective date. You'll see enrollment metrics in your broker portal and can help encourage participation if needed.
How much client involvement is required during the 5-7 day implementation?
Your client's admin needs to be available for the kickoff call, census export, benefits configuration review, and first invoice approval. Day-to-day technical work happens behind the scenes with minimal client involvement. Most clients spend 2-3 hours total across the implementation week, concentrated in the first few days for setup and the final day for go-live confirmation.
What if my client needs to go live faster than 5-7 business days?
Rush implementations are possible for urgent situations like compliance deadlines or immediate coverage needs. Your implementation manager can prioritize the setup, though this may require more concentrated client involvement and same-day responses to requests. Contact your Benefi team as soon as you know about timing constraints to explore expedited options.
