Annual benefits check-in (optional)

Optional yearly re-verification window — great for census hygiene.

For employers managing hourly workforces, keeping benefits data current can feel like chasing a moving target. Your Benefi MEC plan runs continuously with no annual re-enrollment requirement, but you might want to create an optional annual check-in window for administrative clarity.

Why employers choose annual check-ins

Many employers find value in establishing a yearly touchpoint, even when the plan doesn't require it. This voluntary practice helps maintain accurate employee records and gives your team a predictable moment to review coverage elections.

The check-in serves three purposes. First, it prompts employees to update their personal information (address changes, new dependents, corrected contact details). Second, it creates a natural audit point for your HR team to clean up enrollment data. Third, it provides an opportunity for employees who declined coverage to reconsider enrollment.

Setting up your annual window

Since Benefi plans don't require annual elections, you control the timing and scope. Most employers align their check-in with other annual HR activities: open enrollment for other benefits, performance reviews, or fiscal year planning.

Common check-in activities

  • Verify current enrollment status
  • Update employee contact information
  • Add or remove dependents
  • Review plan tier selections (Essential vs. Plus)
  • Re-engage employees who previously declined

Your implementation can be as simple as an email campaign asking employees to log into their Benefi app and confirm their information is current. No forms to collect, no deadlines to enforce. Employees who take no action simply continue with their existing coverage.

Some employers incentivize participation by offering small rewards for completing the check-in: a gift card drawing, extra break time, or recognition in team meetings. The goal is engagement, not compliance, since the coverage continues regardless.

Remember that new employees can still enroll throughout the year during their initial eligibility period, and qualifying life events always trigger special enrollment rights. The annual check-in is purely an administrative tool, not a coverage gate.
